Payment Overview

Trip Cost: $4,995

Single Supplement: $700 extra for private room assignment

Deposit Amount: 50% of Trip Cost (including Single Supplement if selected)

Balance Due: 75 days prior (August 4, 2025 for the October 18, 2025 trip, and August 11, 2025 for the October 25, 2025 trip)

Balance Payment: VIBE Tours will invoice trip participants for their remaining balance on the due dates indicated.

Terms & Conditions, Waiver, Release

I am choosing to participate in a bicycle tour (“Trip”) with Vibe Tours. I agree not to sue Vibe Tours, LLC (“Vibe Tours”) and its respective officers, directors, employees, representatives, agents, and affiliated and/or subsidiary companies, for any of their alleged negligence arising from my participation.

1. Booking and Payment  

  • 1.1. To secure a reservation before August 4, a deposit is required at time of booking.

  • 1.2  The deposit amount is fifty percent (50%) of the total Trip cost, including the single occupancy supplement if selected.

  • 1.3. The balance is due August 4, 2025 (August 11, 2025 for the October 25, 2025 trip). 

  • 1.4  For bookings made within 75 days of departure, full payment is required at the time of booking.  

  • 1.5. Reservation payments can be made via credit card. Balance payments will be invoiced.

2. Pricing and Additional Charges  

  • 2.1. Prices are in USD per person, are based on double occupancy, and include taxes.  

  • 2.2. A single supplement of $700 applies for participants requesting private rooms.  

  • 2.3. Any late payments may incur a $100 late payment fee.

3. Cancellation and Refund Policy  

  • 3.1. Cancellation requests must be submitted in writing. Refunds are issued as follows:  

    • DAYS TO DEPARTURE: More than 75 days

      • CANCELLATION FEE: No Fee

      • FUTURE TOUR CREDIT: 100% of deposit

    • DAYS TO DEPARTURE: 61 – 75 Days

      • CANCELLATION FEE: 50% of Tour Price

      • FUTURE TOUR CREDIT: 75% of Tour Price

    • DAYS TO DEPARTURE: 31 – 60 days

      • CANCELLATION FEE: 75% of Tour Price

      • FUTURE TOUR CREDIT: 50% of Tour Price

    • DAYS TO DEPARTURE: 0 – 30 days

      • CANCELLATION FEE: 100% of Tour Price

      • FUTURE TOUR CREDIT: No Tour Credit

  • 3.2. In cases of cancellation due to unforeseen circumstances (force majeure), Vibe Tours will issue a credit for the amount paid, applicable to a future trip. 

  • 3.3  Future Tour Credit is non-refundable and non-transferable and must be used within two years from the original departure date. Tour Credit may not be applied to payment of a deposit, and once applied to a trip it is considered non-refundable.

4. Travel Medical Insurance  

  • 4.1. Comprehensive travel medical insurance is mandatory for all participants, covering trip cancellation, medical emergencies, and evacuation. You must acknowledge that you are buying coverage. Reach out with any questions. This is not expensive and it’s easy to procure. Three options are: Travelex; Travel Guard; and World Nomads.

5. Itinerary Modifications  

  • 5.1. Vibe Tours reserves the right to alter itineraries due to weather, safety concerns, or other unforeseen factors. Any changes will be communicated promptly, and reasonable alternatives will be arranged.

6. Participation Requirements  

  • 6.1. All participants must be at least 18 years old at the time the trip starts. 

  • 6.2. Participants must be in appropriate physical condition for cycling and adhere to all safety instructions. Helmets must be worn at all times while riding.

7. Assumption of Risk and Waiver of Liability  

  • 7.1. Participants acknowledge the inherent risks associated with cycling, including terrain hazards, traffic, weather, and physical exertion.  

  • 7.2. In exchange for participating in the Trip, Participant hereby releases and holds harmless the released parties from any liability based on negligence that may arise from participant participation in the trip, including the negligent conduct of the released parties. This Release will prevent participant, as well as spouse, heirs, successors, assigns and legal representatives, from suing the Released Parties for negligently causing injuries or damages.

8. Travel Documentation and Requirements  

  • 8.1. Participants are responsible for ensuring they have a valid passport (valid for six months beyond the trip date) and any required visas.

9. Additional Conditions  

  • 9.1. Vibe Tours is not responsible for delays, loss, or damage to personal belongings.  

  • 9.2. Participants grant permission for Vibe Tours to use trip photographs or videos for promotional purposes.  

  • 9.3. Any harassment or inappropriate behavior may result in immediate dismissal from the trip without refund.  

  • 9.4 I understand that Vibe Tours reserves the right to deny my participation in the trip and/or ask me to leave at any time if Vibe Tours, in its sole discretion, determines that my participation is detrimental to the well-being and enjoyment of other travelers.

  • 9.5 I understand that the Released Parties do not own/operate/maintain the roadways where the bicycles will be used, and the Released Parties make no warranties as to the conditions of the roadways where the routes are planned.

10. Governing Law  

  • 10.1. These terms are governed by the laws of the Commonwealth of Virginia, United States, and any disputes will be subject to its courts.

11. Acknowledgment and Acceptance  

  • 11.1 By booking a trip, participants confirm they have read, understood, and agreed to these terms and conditions. Signatures exchanged by facsimile, email, and online acceptance shall be binding as originals.
